Getting Started with Olmsted

Whether you're setting up a team or accessing a project as an advisor, we'll walk you through the first steps.

For Team Members

If you're building a team and managing projects, follow these steps to set up your workspace.

Create Your Account

Sign up at /signup with your email and password. If you received an invite from a team manager, use that same email and you'll be added to their team automatically. You'll have immediate access to all projects shared with your team.

Explore Your Dashboard

Your dashboard is your command center. It shows all projects on an interactive map view, plus a detailed list view with project cards showing status, progress, upcoming milestones, and key metadata. You can filter by project type, location, or team to focus on what matters to you.

Create a Project

Click "New Project" from your dashboard. Enter the project name, select the infrastructure type (Solar, Wind, Data Center, Transmission, Pipeline, Broadband, Water, etc.), location (geocoded automatically), and capacity. Your new project will immediately appear on your dashboard map and in your project list.

Add Tasks & Milestones

Each project has 10 built-in workstreams: NEPA/Environmental, Water Rights, Land/Title, Engineering, Financial, Legal, Construction, Utilities, Public Comment, and General. Add tasks to the relevant workstreams with due dates, priorities, and team member assignments. Milestones roll up to your dashboard for visibility across the portfolio.

Upload Documents

Go to the Documents tab and upload files organized by workstream. Olmsted tracks versions automatically (v1, v2, v3, etc.) and preserves all previous versions for audit trails. Add version notes to document what changed. Tag documents with status (Draft → Pending Review → Approved → Final) so your team knows where things stand.

Invite Advisors

When you're ready to bring in external consultants or counsel, go to your project's Documents tab and create permission groups (e.g., "Geosyntec - Environmental" or "Wilson Sonsini - Legal"). Set folder-level access for each group (view-only, view + download, etc.), then invite advisors by email. They'll receive a magic link and access the advisor portal — no password required.

For Advisors

If you've been invited to collaborate on a project as an external advisor, here's what to do.

Check Your Email

When a project team invites you, you'll receive an email with a magic link. Click the link to enter the advisor portal. You won't need to create an account or remember a password — your access is tied to that unique link.

View Your Projects

The advisor portal dashboard shows all projects you have access to. You'll see what's new (recent activity from the last 7 days) and documents that may need your review. If you have access to multiple projects, you can switch between them easily.

Browse & Download Documents

Navigate by workstream folder (NEPA, Water Rights, Environmental, etc.). You can view or download documents based on the access level the project team granted you. Some folders may be view-only; others may allow downloading. You cannot upload or edit documents as an advisor unless the project team grants special permissions.
